PARTICIPATION LEVELS AND FEES

*Fees will be paid upon acceptance into the york fringe festival.

 

Fringe Participant - $25 registration fee

  • Show listing included on York Fringe Festival website and in printed guide

  • Your show box office managed by York Fringe Festival website

  • Festival marketing collateral (posters, postcards, web graphics) provided for your use

First Act Participant - $50 registration fee

  • Show listing included on York Fringe Festival website and in printed guide

  • Your show box office managed by York Fringe Festival website

  • Festival marketing collateral (posters, postcards, web graphics) provided for your use

  • Minimum of two dedicated social media posts: one month-of; one week-of

Second Act Participant - $75 registration fee

  • Show listing included on York Fringe Festival website and in printed guide

  • Your show box office managed by York Fringe Festival website

  • Festival marketing collateral (posters, postcards, web graphics) provided for your use

  • Minimum of two dedicated social media posts: one month-of; one week-of

  • Quarter-page ad in printed guide

  • Show included in email blasts

Encore Participant - $100 registration fee

  • Show listing included on York Fringe Festival website and in printed guide

  • Your show box office managed by York Fringe Festival website

  • Half-page ad in printed guide

  • Brief promotional video of your show on York Fringe Festival social media and website

BOX OFFICE

You are able to set your own ticket prices. All advance tickets will be sold through the York Fringe Festival website box office. York Fringe collects 10% of advance ticket sales. There is also a ticket processing fee associated with the website. York Fringe does not retain these funds.

York Fringe will manage your day-of box office and ticket sales. If there are tickets remaining, you can keep 100% of door ticket sales.

Reconciliation

When the Festival closes, we will issue a check for ticket proceeds to the entity or person reported on your W9. No check will be cut until we have received your W9 and settlement information.

Comp Policy and Press

The Box Office does not offer complimentary tickets to anyone other than press. You must handle comps for artists, funders, and VIP’s directly. Deduct your desired number of comps from the available tickets you provide to the Box Office.

Show Related Changes

Contact the Fringe Festival Coordinator with any and all show changes as soon as possible. You are only able to cancel your show if it is affected by inclement weather. You cannot cancel your show due to low attendance. If you are canceling your show, you must provide six hours’ notice. These policies subject to change. All registered artists will be immediately notified of any change.

When is the York Fringe Festival?

The 2024 York Fringe runs from Wednesday, August 21 - Sunday, August 25

Can I submit with/use copyrighted or published material?

Fringe Festival shows tend to be original new works...but it’s not against the rules to submit with a published work. However, it is each show’s Producer’s responsibility to obtain all necessary consents to perform the work and pay all necessary royalties including but not limited to: performance rights, author’s permission for use of book or music, use of music in performance, rights to adaptation, use of copyrighted images in promotional materials, etc. Upon our request, Producers must provide evidence of consents and royalty arrangements.

What if I want to participate in the festival in some other way?

Is there a limit to main stage productions?

Nope.

Are there any venue restrictions?

As long as your performance takes place within the City of York and can accommodate your performance and audience needs, you’re good to go.

When will I know my performance schedule?

June 3, 2024 and not a day earlier so please don't ask (nothing can be finalized or set in stone until the entire schedule is confirmed). You'll have 24 hours following arrival of this information to confirm or present issues.

will there be someone to run my tech?

You are responsible for providing your own tech.

Are there resources available to cover production costs?

YES! All productions that are accepted into the festival will be eligible to apply for a micro-grant to help cover production costs. This includes lodging for out of town artists, travel expenses, venue rental, royalties, props, costumes, etc. These funds are distributed after artists are accepted into the festival.

FRINGE ARTIST AGREEMENT

Definition

The Term “Artist” as used in this Agreement refers to all persons participating in Artist’s show and binds each individually and collectively to the terms of this Agreement.

Box Office Procedures and Ticket Discounts

Artist hereby agrees to comply with Festival Box Office procedures and honor and abide by the Festival’s ticket discount policies.

Ticketing Policy and Fees

Artists are able to set ticket prices for their production. There is a 10% Box Office Fee for all tickets sold through yorkfringe.org plus a processing fee charged to the ticket buyer for all credit card transactions. York Fringe does not retain the credit card fee. Artists are able to keep 100% of revenue from tickets that you sell at the door.

Reconciliation

When the Festival closes and the Artists’ information is uploaded, York Fringe will issue a check for Box Office proceeds to the entity or person reported on the Artist’s W9. No check will be cut until we have received a W9 and settlement information.

Discounts

York Fringe may offer discounts to Festival patrons who purchase online or through the Box Office. Artists must honor these discounts when selling tickets. Artists may provide discounts in addition to those listed below for at-the-door sales only. Artists may choose to present their show free-of-charge or pay-what-you-will. Artists choosing to do so must inform York Fringe during the application process.

York Fringe offers the following discounts.

Press Pass: Two free tickets
(Subject to availability. No reimbursement)

Groups of 10 or more are eligible for 25% discount.
(Must be arranged in advance through Box Office)

Festival Sponsors: Subject to sponsorship agreement
(Must be arranged in advance through Box Office)

Comp Policy and Press

The Box Office does not offer complimentary tickets to anyone other than press and festival sponsors. Artists must handle comps for artists, funders, and VIP’s directly. Select members of the press will receive a Press Pass after submitting his or her credentials. This pass allows select members of the press two free tickets to all festival shows. The Festival Box Office may also issue press comps for a show if requests are made by the press member. No more than two comps will be issued to each accredited member of the press.

Show-Related Changes

Artists must contact York Fringe with any and all show changes as soon as possible. Artists may only cancel their show if it is affected by inclement weather. Artists cannot cancel your show due to low attendance. If an Artist cancels his or her show, he or she must provide York Fringe six hours’ notice.

Insurance

Upon acceptance into the York Fringe Festival, organizers will provide information to artists regarding required insurance policies and documents.

Compliance with Applicable Laws

Artist hereby agrees to comply with all applicable laws, statutes, regulations and ordinances related to the production and presentation of Artist’s show.

Proprietary Rights

Artist shall secure all necessary permissions or licenses and pay all royalties required to be paid for use or performance of copyrighted or other proprietary material. York Fringe shall have no liability for the payment of such royalties. Artist represents that its performance at the Festival includes only authorized use of copyrighted material or other applicable proprietary rights. Artist shall indemnify, defend, and hold harmless York Fringe, its directors, officers, employees and agents from and against all claims, demands and expenses that the Presenter may incur by reason of any infringement or violation of any copyright or other artistic proprietary right arising in any way from the Artist’s performance.

Indemnification

Artist hereby indemnifies and holds harmless York Fringe, its officers, employees, agents, successors and assigns, from and against any and all claims, damages, losses, and expenses, arising out of or resulting from Artist activities in connection with Artist participation in the York Fringe Festival including any and all court costs, reasonable attorney’s fees and expenses that may be incurred by the above named in defense of any such claim or suit, and from any and all claims arising from Artist failure to comply with applicable laws, statutes, regulations and ordinances related to the production and presentation of Artist’s show , including, but not limited to, improper or unlawful posting, publicity and advertising of Artist’s appearance at the York Fringe Festival.

Artist Publicity Materials

Artist shall comply with all reasonable requests by York Fringe for marketing and promotional materials.

Festival Publicity, Promotion, and Advertising

York Fringe shall provide publicity, promotion, and advertising for the Festival as determined by the York Fringe Board of Directors. York Fringe reserves the right to promote any artist or any individual performance of any artist. Any additional promotional materials or advertising of the Festival produced by Artist or any appearance by Artist connected with the Festival must contain the York Fringe logo. York Fringe shall have the unqualified right to use and authorize others to use the name, photographs, and photographic likeness of the Artist to publicize, advertise or report about the Artist’s engagement in the Festival in all media, except where otherwise agreed to by the parties in writing.

Documentation

York Fringe shall have the right and full authority to make audio, video and/or digital recordings, or use photography, for archival and future promotional purposes, with respect to any portion or all of Artist’s performances at the Festival. This authority shall be exercised by York Fringe unless it receives written notification no later than seven (7) days in advance of any performance – in the form of a separate letter from the Artist – objecting to such coverage.

Acceptance

Artist by their representatives’ signature below hereby indicates acceptance of the terms and conditions of this Agreement. The terms of this Agreement are binding and supersede any oral agreements or representations and any prior written agreements or representations.

Authorization

The person signing this Agreement on behalf of Artist hereby acknowledges that he/she has the authority to bind Artist to the terms of this Agreement.
